Getting Started with Archived Projects

Archived Projects is a searchable database of record drawings and documents for the University's completed construction projects. The Archived Projects module is a part of the Space Information & Management System (SIMS). Files are organized by categories such as by building, project, and discipline. In addition to construction record documents, users can also download owner models and floor plans, studies, technical reports, and the University's latest Building Design Standards. Archived Projects is administered by the Architectural Services team.


Opening the Archived Projects Module

  1. Click the Module Menu button
  2. Select Archived Projects

Filtering Archived Documents

The Filters Panel allows you to filter the documents available in the data grid.  While you are limited to 5 filters at one time, you can change the filters.

  1. Click on the small down arrow next to the field name and a list of all available filters will open to allow you to select a new filter.
  2. Enter the value you would like to filter the documents by.
  3. Click Apply to load the results to the data grid.

Available fields for filtering archived documents:
Field Name Description
Asset ID Identification number of a non-building location.
Asset Name If you do not know the asset ID, begin typing the name here (e.g., "Oval"). You can use % as a wild card if you only know a portion of the asset name. (learn more at Advanced Filtering in SIMS)
Building If you do not know the building number, begin typing the name here. You can use the % as a wild card to replace a portion of the search string. (learn more at Advanced Filtering in SIMS)
Building Number Identification number of a building.
Building/Asset If you know the building or asset number that the drawing is associated with, enter that here. If you only know the name, choose the Building or Asset Name fields.
Campus A drop-down of available campuses to filter the documents by.
Closed Date The date the project was considered closed.
Closed Date From Date A date entered here will return documents with a Closed Date after the provided date.
Closed Date To Date A date entered here will return documents with a Closed Date before the provided date.
Discipline A drop-down of available disciplines to filter the documents by.
File Type The file type you are looking for (PDF, DWG, RVT, etc.).
Last Updated Date the document was last modified.
Project Name If you do not know the project number, begin typing the name here. You can use % as a wild card to replace a portion of the search string. (learn more at Advanced Filtering in SIMS)
Project Number OSU Project Numbers are used when available to identify the project.
Project Stage A drop-down of available stages to filter the documents by.
Sheet Name Sheet name as noted on the sheet
Sheet Number Sheet number as noted on the sheet
Sheet Size A drop-down of available sheet sizes to filter the documents by.

Keyword Searches

The "Search for..." bar in the top right corner is used for general keyword searches. Search for a keyword or phrase across the Archived Projects database. Use filters to further narrow down your results.

A keyword search collects results across all available metadata.

Viewing Records

To view an individual record, double click on the record to open the dialog box. Scroll down to see more information. Click on the magnifying glass to open a preview of the document. Online preview only works for PDF files. Clicking the magnifying glass for other file types will download the file to your computer.

Downloading Multiple Files

  1. Use the Ctrl or Shift keys to select the records you would like to download. You can also use Ctrl+A to select all records shown, or use the Select All button above the search results.
  2. Once selected, click on the download button. This will package the selected files and download as a ZIP file.
Select multiple records at once to download a combined ZIP file.

Exporting Results to Excel

To export an Excel spreadsheet of all records shown on the grid:

  1. Click on the 3 dots icon.
  2. Select Export List.
3 dots icon above search results shows more options. Select Export List to download Excel spreadsheet of results.
